This is the first edition of the event, and your SPOT is the marked ground — everything else comes with you. Here is what that means for this Center.
What comes with the SPOT?
The SPOT is the marked area on the parking lot floor — that is all. Tent, table, chairs, display, banner and lighting are on you. Most SPOTs are 100 sq ft (about 10×10 ft, the size of a standard canopy); a few are larger, and the map shows each one's size before you buy.
Is there a power outlet at my SPOT?
No. This is a church parking lot, not a venue built for events: there is no electrical setup for the booths. If you need power, bring your own — a quiet generator or a battery power station — sized for the full five hours, with at least one extra hour of reserve beyond your estimate. In SOME areas it may be possible to run an extension cord, but that is an exception and has to be arranged with the organizers in advance: none of it gets solved on event day, and it cannot be your plan. A loud generator competes with the stage and with your neighbor: choose battery whenever you can.
Do I need to bring lighting?
Yes — your own. The venue has general lighting, but it was not designed to light the inside of a booth and the organizers cannot guarantee it will be enough at yours. The sun sets around 7:30 PM and the event runs until 9 PM: bring battery-powered LED lighting with at least an hour and a half to two hours of runtime — one bar or a small floodlight covers a 10×10 tent — and charge everything before you leave home. A dark booth at 7:30 PM sells less, no matter how good the product is.
What time do I set up and tear down?
Arrive at 2 PM. By 4 PM your SPOT must be fully set up — that is when the public comes in. Before 2 PM the space is in use by another organization, so there is no early access. If you genuinely need more time (slow-cooked barbecue, for example), ask the organizers in advance; we authorize these case by case. Teardown happens only after the official closing, at 9 PM.
Can I attach anything to walls, fences or trees?
No. Nothing may be attached, hung, taped or screwed to walls, fences, trees, poles or any structure on the premises — this is the single most important rule of the event. Everything you bring has to stand on its own, and your tent needs weights on all four legs: it gets windy late in the afternoon, and an unweighted tent becomes everyone's problem.
Where do I keep backup stock?
Inside your SPOT or in your car — there is no storage area at the event. Unloading happens between 2 PM and 4 PM; after that the lot is full of people and cars do not move. Bring a hand truck: the walk from car to booth is more tiring than it looks.
I sell frozen goods, coffee, chocolate or cosmetics. How do I keep them?
A cooler with ice (or dry ice for frozen items), shade and patience: there is no outlet or fridge on site, and the asphalt gets hot in the afternoon. Chocolate, cosmetics and candles melt inside a closed tent — keep your display in the most shaded spot and your stock in the cooler.
Can I bring racks, shelves or grid panels?
Yes, as long as it stands on its own with weight at the base. Nothing leaned against or attached to walls, fences or trees — that is the single most important rule here. And it gets windy late in the day: a tall, light rack tips over, so choose a wide base and tie it to your own tent leg.
Do I need bags and change?
Yes, both. Your own bags (branded, they turn into advertising walking around the event), cash for change, and a charged card reader with a data plan. A visible price on every item saves the question and speeds up the line.
What about the security of my merchandise?
It is each vendor's responsibility: the organizers are not liable for loss, damage or theft, and anyone bringing higher-value merchandise should carry their own insurance. Do not leave your booth unattended, and tear down only after the official 9 PM closing.
How do I take payments? Is there Wi-Fi?
There is no Wi-Fi on site. Bring your card reader charged and a data plan on your phone, and have a plan B: cash for change, Zelle, or your payment app's QR code printed and laminated. With a crowd in one place, the network gets slow exactly when the rush hits.
Who handles the trash?
Each vendor collects their own trash, disposes of it in the designated places and leaves the space clean at the end, the way they found it. Bring your own trash bags: the volume one booth produces in five hours surprises first-timers.
Who is responsible for what happens at my booth?
Entirely yours. The booth space is yours during the event: what you set up, what you use and what you sell answer to you. The church's insurance covers the venue — it does not cover your operation, your equipment or your product — and the organizers are not liable for loss, damage or theft. Anyone bringing valuable equipment or merchandise should carry their own insurance. This is a non-profit community event run by the church: it works because everyone takes care of their own piece.
Can I sell things beyond my category?
Your category is your flagship product, and no one else at the event has the same flagship — that is what you are buying. Variations and complementary items are still yours to sell: after your purchase you go over the rest of your offering with the organizers, through the vendor panel. What you cannot do is turn your booth into someone else's flagship.
What if it rains, or I cannot make it?
SPOTs are non-refundable. You can swap SPOTs up to 1 hour before the event starts, using the link emailed to you (swapping to an equal-value spot is free; to a more expensive one you pay the difference). If something comes up, talk to the organizers — we will see what can be done, but a refund is not guaranteed. In case of force majeure, the organizers will seek a fair solution.
